As a Scouter, or Offer of Service (OOS), you are an important part of the Organizing Committee:

The Carleton Winter Chipmunkoree/Beaveree/Cuboree will be held 9:15 A.M. to 3:30 P.M. Saturday February(?) 2026 at Carp Fairgrounds.
Many great winter activities will be planned for Chipmunks, Beavers and Cubs including various outdoor group games,.
The registration fee of TBD per person includes a snack, a Chipmunk/Beaveree/Cuboree Crest, use of the facilities, and more fun than you could imagine. Consider joining your child for this fun and exciting day.
Section registration and payment must be completed by January (TBD)2026. No late registrations will be accepted and there are no refunds.
Youth do not need to wear a uniform, except a necker. Please make sure that they are dressed for the weather. Extra mitts and socks inside two waterproof bags that could fit over your socks are recommended, as well as lip balm and Vaseline for cold cheeks. Toques with ear flaps and/or neck tubes are encouraged.
Please plan to arrive on site by 9:15 A.M.. Activities will start immediately following Opening Ceremonies.
Parking is limited so we would encourage parents to coordinate their own car pools.
Dear Section Contact:
You are a very important member of the Winter Beaveree/Cuboree organizing team. You are responsible for submitting a consolidated registration package for your section and to be our contact to your section members before and during the event.
The Individual Registration Form (2026 Beaveree-Cuboree Individual Reg.doc) has been provided as a sample for you to use. If you decide to use the sample, please personalize it with your section name, your name, your account, and your form's return date.
You must meet the ratio of at least one Scouter per every eight Beavers in attendance (1:8) and one Scouter per every eight Cubs in attendance (1:8). Chipmunks must be 1:1 for Parent Tot model or 1:4 for Volunteer Led model). Your Group Commissioner may specify a lower ratio for you to attend this event (e.g. 1:5, 1:6)
AS SOON AS POSSIBLE, PLEASE DO THE FOLLOWING:
Register your section members (an optional sample Individual Registration Form is provided)
Collect forms as required for your records
Collect registration fees
Ensure you have updated physical fitness info for each youth and adult attending
Ensure that any attending non-member adults, including parents, have been screened. Parents can be given Parent Helper roles in MyScouts to help track these screening elements. For parents at day events, screening consists of:
signed Scouts Canada's Adult Code Of Conduct
have had an expectations discussion
their role is explained to youth (this explanation can occur at the start of the event)
Obtain an approved Adventure Application Form (AAF) from your Group Commissioner
ON FEBRUARY 7th , PLEASE:
Arrive and check-in between 9:30 A.M. and 9:45 A.M. The Section Contact will be given the crests for your section, a site map, and the schedule for the day.
Per BP&P, PLEASE HAVE THE FOLLOWING WITH YOU AT THE EVENT:
Member Detail Form for all registered youth members and adult Scouters
Physical Fitness Certificate for all non-members
Scouts Canada Individual Release and Hold Harmless Agreement for each non-member youth attending, except trial youth.
